Creating and sharing summary reports in KIMBIA

With KIMBIA, it is easy to create summary reports to track the progress of your campaign. It is also possible to share these reports with others using our Report Anywhere feature. Using Report Anywhere, other folks who are working on or tracking your campaign can get the information they need without having to have administrative access to the system.

The data received through Report Anywhere is always live. So, if your Executive Director or a member of your board wants to know how the program is progressing, you can provide them with access to that information and they can get an update at any time. This is also a useful way to send information to external sources such as vendors. Need your print shop to make T-Shirts for your walk? Send them a link that summarizes your order by shirt size and tell them to download the data right before the event and fill your order. Have a volunteer coordinator that manages just one group of volunteers? Create a report and send only the names, numbers, and email addresses for only their volunteers as they sign up.

Below is a step-by-step guide to creating one of the most common type of summary reports. This report summarizes the daily registrations at one event location. The number of registrations and the total registration dollars are summarized by day.

  1. Create a new Custom report.
  2. Add the form you wish to summarize.
  3. For the first column choose Date.
  4. For the second column choose Response Details category and then the Number of Responses column. You can also name this column something that makes sense to your viewer like "Sign Ups" in the example.

For the second column, first choose the 'Response Details' category...

...then select the 'Number of Responses' column and add a custom column header if necessary.
  5. For the third column choose the Money category and then the Discounted Price column (which includes all adjustments to the registration price). Next choose to display as Total and optionally give this column a name such as "Registration Dollars."

For the third column choose the Money category & Discounted Price column...

Next choose to display as Total and optionally rename this column
  6. Click Save and name your report. From now on it will be listed in Saved Reports.

Click Save and name your report
  7. From Saved Reports, click on the Report Anywhere button for the custom URL of your new report.

click on the Report Anywhere button for the custom URL of your new report
  8. Now your can distribute the report to anyone. When the viewer downloads the summary it looks like this:

the downloaded summary looks like this

From now on, anytime the viewer downloads the report they will get up to the minute data. It works great on the iPhone - data displays directly in the browser screen.
